Updating an Al-Anon Electronic Group Record

A changed meeting link can leave regulars using the right room while newcomers follow an old entry. If your electronic Al-Anon group is changing its details, identify where the old information appears and which volunteer will check that the new listing works.

Write down the old and new details

Begin with the group's exact registered name and number, if available. List each change next to its current value and record the date it takes effect. If the group changes platform and start time together, write both changes clearly. It is easy to carry over the old time when all attention is on a new link.

Identify the change as permanent or temporary. A one-session cancellation is a different problem from a standing meeting schedule change. Ask the responsible service contact how temporary notices are handled rather than assuming the permanent record is the right place.

Check which details should be public

Read the current form and instructions before copying contact information into a field. Confirm that the named contact has agreed to the role and understands how the information may be used. If the listing directs newcomers through a particular route, verify that the route is staffed or monitored.

Use the group's approved instructions for joining. Do not copy private organiser links, administrator credentials or contact information from an internal message. Ask a second group volunteer to read the proposed listing as a newcomer would and identify anything that could be misunderstood.

Separate the record from local customs

The public listing helps someone find the meeting and understand whether they may attend. It does not have to explain every custom the group follows. If a person asks about recognition, direct them to the group rather than inferring a practice from the record. The guide to Al-Anon token customs explains why the question belongs with the individual group.

If the group changes its participation arrangements, check that the wording matches the current form and that the chair knows what will appear. A newcomer should hear the same practical answer from the listing and the person who welcomes them.

Verify from outside the organiser account

After the update has had a chance to process, open the public entry as an ordinary visitor. Check the day, time zone and way to join. If a local directory is maintained separately, confirm whether someone must update it too. Save the final public reference in the group's service notes.

Make the next owner clear. The person covering the role next month should know who can submit an update and which official record to check. That small handoff makes future corrections easier without keeping a collection of old, potentially sensitive credentials.

Medallions to consider

These optional retail medallions are for a confirmed AA sobriety anniversary. Ask whether the recipient would welcome a keepsake and verify the milestone before choosing a design.
