The AA Group Treasurer: Prepare a Report the Group Can Follow

The AA Group Treasurer: Prepare a Report the Group Can Follow

You agree to help as treasurer, then receive a cash box, a spreadsheet and several explanations of how things have always been done. Before changing the system, find out what the group actually needs to account for and what it has already agreed.

Receive the records before redesigning them

AA's Group Treasurer resource introduces the role and responsibilities. Read it alongside the records and practical arrangements handed over by your group. Ask what period has already been reported and which matters remain outstanding.

Start by making the existing system understandable. A new app or more elaborate spreadsheet does not resolve an unexplained balance. Ask the outgoing volunteer to walk through one completed report and show how its entries connect with receipts, payments and the amount carried forward.

Build a report around a clear period

Label the period and distinguish the opening balance, money received, expenses and closing balance. Keep a record that allows an entry to be explained later. If a receipt is missing or an amount is uncertain, identify that question instead of silently adjusting a figure to make the report look tidy.

Present the information in a form the group can follow. You do not need to read every transaction aloud if members have an agreed way to review the detail. Make it clear which figures are confirmed and which question still needs attention.

Clarify what has been authorised

Ask how the group agrees expenses, records decisions and handles reimbursements. Do not assume that holding the money gives you permission to create a new commitment. A possible purchase, an agreed purchase and a payment already made should not be confused in the report.

If the group buys milestone tokens, connect the stock request with its agreed arrangement. Our AA chip overview explains the objects. A decorative retail medallion is not automatically a necessary group expense simply because someone prefers that design.

Leave a traceable handover

Keep service records available through the group's agreed process and separate them from private personal notes. Ask how access, receipts, outstanding payments and the closing balance should pass to the next volunteer. If a financial or legal question exceeds your knowledge, obtain appropriate qualified help.

A useful handover explains what the figures mean and what needs doing next. Thank the person taking over without treating the position as personal ownership. If a separate sobriety anniversary occurs at the same time, select its milestone from the person's actual sobriety date, not the length of the treasurer term.

Medallions to consider

If the group has specifically agreed a decorative medallion purchase, or you are choosing a private AA anniversary gift, check the live selectors below. Do not charge an optional gift to group funds without the group's agreement.

Common questions

Does the treasurer decide all spending?

Clarify the group's actual approval process. Holding the records is not the same as authority to create every expense.

Should a missing receipt be hidden in a corrected total?

Identify the unresolved entry and ask how the group wants it addressed; keep confirmed figures distinct from uncertainty.

Is a premium medallion automatically a group expense?

No. Check the group's agreed recognition and purchasing arrangements.
